Planning a team headshot day sounds like a daunting task, especially if you're managing hundreds, or even thousands, of employees. And to be fair, it can get complicated. But it doesn't have to be, whether you're a marketing director or the team coordinator who got handed the project. I've done this enough times to know exactly what makes a team headshot day run smoothly — not just so your team looks great in the final gallery, but so the whole process, start to finish, feels easy on your end.

Step 1 — Pick the Right Date and Space

Start with a date where you know most, if not all, of your team will be free and available. I'd steer clear of booking close to vacation weeks or the day before a long weekend. I'm often brought in during an annual conference too, since companies with offices across the US, or the globe, already have everyone gathered in one place. That timing also opens the door to more than just headshots — I can capture event photos, breakout sessions, meetings, awards ceremonies, and more, all in the same visit.

For the headshots themselves, I recommend a 10x10 room at minimum, with enough space for people to move around my lights without it becoming a tripping hazard. A private room always beats an open space, for two reasons: I need to be able to talk with each person without being a distraction to your day-to-day operations, and a private space puts self-conscious team members more at ease than getting photographed in front of coworkers.

Step 2 — The Process

On location, I bring my mobile studio and a laptop tethered to my camera, so every image pops up on a large screen as we shoot. That real-time review is what makes sure everyone leaves happy with their photo. Within each person's 5-minute slot, I take 20 to 30 shots, pull them up for review, and have them pick their favorite on the spot for editing. It's quick and efficient, and my process — lighting, coaching, all of it — is built to make people look and feel their best.

Flagging each person's favorite during the shoot also means I can deliver it directly to them after editing, which saves your marketing department the time otherwise spent running proof galleries through multiple hands. How Many People Can I Shoot in a Day?

On my own, I can comfortably shoot roughly 100 people in a single day, though a few factors affect that number. For instance, many clients want their executive team to get a longer slot — around 15 minutes — so they can capture a few different looks for various uses. For larger teams, we can spread the work across additional days, or I can bring in my associate photographer and run two headshot stations at once to keep things moving.

Fast Turnaround, No Extra Steps

Turnaround is fast — generally 1 to 2 weeks for the retouched gallery, depending on your team size or whether the shoot also includes event photos, candids, group shots, or video. Because we earmark each person's favorite on-site, there's no proof gallery back-and-forth eating into anyone's week.

Once editing is complete, photos go directly to each team member via email, and I send a complete gallery to your point of contact, ready to drop straight into your asset folders. If you'd prefer, I can also disable individual email delivery and send only the full gallery to your point of contact instead. The process flexes to whatever works best for your team.

Preparation matters most when it comes to styling and clothing. Your team will look better and feel more confident with a little guidance beforehand:
